Commercial Lending Sales Assistant

Position Summary

The Commercial Lending Sales Assistant plays a critical role in supporting the Commercial Lending Team by assisting with loan origination, client communications, lender coordination, pipeline management, and administrative operations. This position serves as the primary support resource for the Business Development Officers (BDOs) by ensuring an exceptional client experience while helping move commercial loan transactions efficiently from initial inquiry through closing.
The ideal candidate is highly organized, detail-oriented, customer-focused, and possesses excellent communication and multitasking skills.

Primary Responsibilities:

Client Relationship Management
  • Prepare and distribute client engagement agreements and required onboarding documents.
  • Create and organize electronic client files in accordance with company procedures.
  • Maintain accurate client records and documentation.
  • Follow up with clients to obtain outstanding documentation.
  • Confirm appointments, meetings, and consultations with prospective and existing clients.
  • Return incoming client calls and emails in a professional and timely manner.
  • Attend client consultations via Zoom or telephone to assist with note-taking, follow-up items, and client support.
Loan Processing & Lender Support
  • Prepare complete commercial loan packages for submission to lenders.
  • Review client documentation for completeness prior to lender submission.
  • Coordinate with lenders throughout the underwriting process.
  • Provide administrative support to Business Development Officers and lending partners.
  • Track outstanding underwriting conditions and assist clients in satisfying lender requests.
  • Maintain organized loan files throughout the financing process.

Sales & Business Development Support
  • Conduct outbound follow-up calls to prospective clients and referral partners.
  • Schedule appointments generated through marketing campaigns and referrals.
  • Assist Business Development Officers with maintaining strong relationships with clients, bankers, Realtors, CPAs, attorneys, and referral sources.
  • Support business development initiatives and client retention efforts.

Administrative & Operations
  • Manage and coordinate the calendars of the President and Senior Business Development Officer.
  • Schedule meetings, conference calls, and client consultations.
  • Maintain and update the company's commercial loan pipeline.
  • Monitor loan milestones to ensure transactions remain on schedule.
  • Upload and maintain all client information within HubSpot CRM.
  • Maintain accurate notes regarding client communications and loan status.
  • Generate internal pipeline reports as requested.

Qualifications:

Preferred Experience
  • 2+ years of experience in commercial lending, banking, mortgage lending, financial services, or loan processing.
  • Experience with SBA 7(a), SBA 504, commercial real estate financing, or business lending preferred.
  • Experience using CRM software (HubSpot preferred).
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
