Job Summary
The Executive Assistant provides high-level administrative support to the owner, ensuring efficient operations and effective time management. The role involves handling confidential information, managing schedules, coordinating meetings, and acting as a key liaison between the executive and internal/external stakeholders.
Key Responsibilities
Administrative Support
- Manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Draft, edit, and proofread correspondence, reports, and presentations.
- Handle incoming and outgoing communications, including emails, calls, and letters.
- Maintain organized records, files, and documentation.
Meeting Coordination
- Plan and organize meetings, including preparing agendas, taking minutes, and following up on action items.
- Coordinate with internal teams and external partners to ensure smooth communication and event logistics.
Expense Management
- Prepare expense reports and monitor budgets for executive activities.
Stakeholder Liaison
- Serve as the primary point of contact between the executive and other departments or external parties.
- Build and maintain positive relationships with key stakeholders.
Qualifications
Education
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Skills & Competencies
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving and decision-making skills.
- Ability to work independently and manage multiple tasks simultaneously.
