Job Description:
As the Executive Assistant to the CEO, you will play a pivotal role in supporting / the CEO, in his day-to-day activities and ensuring seamless operations within the organization. You will report directly to Director of Operations, and the Team Manager, while working closely with the life coach, for planning and scheduling purposes. Please note that occasional overtime or after-hours work may be required to meet the demands of the role and ensure the smooth functioning of operations.

Job Description:
As the Executive Assistant to the CEO, you will play a pivotal role in supporting / the CEO, in his day-to-day activities and ensuring seamless operations within the organization. Responsibilities:
- Calendar Management: Efficiently manage the CEO's calendar, including scheduling appointments, meetings, and conferences. Prioritize conflicting demands and ensure timely reminders and follow-ups.
- Communication Liaison: Act as the primary point of contact for CEO's communication channels, including email, phone calls, and correspondence. Handle inquiries and requests, filtering and redirecting them as appropriate.
- Meeting Support: Attend all Zoom meetings, taking detailed notes and organizing action items. Prepare agendas, presentations, and briefing materials as necessary.
- Email and Voicemail Organization: Manage emails and voicemails, sorting and prioritizing messages for scheduling purposes and ensuring timely responses.
- Task Prioritization: Assist in prioritizing tasks and managing workflow. Anticipate upcoming deadlines and proactively address time-sensitive matters.
- Project Coordination: Support in various projects by coordinating activities, tracking progress, and facilitating communication among team members.
- Event Planning: Assist in the organization and execution of the company events, including employee gatherings and company-specific events. Coordinate logistics, catering, and guest arrangements as needed.
- Financial Administration: Help with basic financial tasks, such as expense reporting, invoicing, and budget tracking. Assist in office purchases and coordinate with vendors as necessary.
- Travel Coordination: Arrange complex travel itineraries for the CEO, ensuring alignment with business priorities and personal preferences.
- Company Events: Set up and coordinate company events, ensuring smooth execution and memorable experiences for participants.
Qualifications:
- Proven experience as an executive assistant, personal assistant, or similar role, preferably supporting C-level executives.
- Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong communication skills, both verbal and written (English), with a professional and diplomatic demeanor.
- Proficiency in productivity tools such as Microsoft Office Suite, Google Workspace, Zoom Meeting, and project management software.
- Discretion and confidentiality when handling sensitive information.
- Resourcefulness and problem-solving abilities to resolve issues independently.
- Flexibility to adapt to changing priorities and willingness to work occasional overtime as needed.
- Bachelor's degree or equivalent experience preferred.
