Job Description
Position Overview:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our team. The ideal candidate will play a vital role in supporting daily operations, ensuring efficiency, and delivering exceptional service to clients and team members.

Key Responsibilities:
  • Administrative Support:
    • Manage daily administrative tasks, including answering phones, scheduling appointments, and maintaining office supplies.
    • Prepare, review, and distribute correspondence, memos, and reports.
    • Handle data entry and maintain accurate client records in agency management systems.
  • Customer Service:
    • Greet clients over the phone, addressing inquiries with professionalism and courtesy.
    • Assist in processing client requests such as policy changes, billing questions, and claims status updates.
  • Operational Assistance:
    • Support insurance agents with policy documentation, quotes, and follow-ups.
    • Coordinate and track renewals to ensure timely communication with clients.
    • Manage filing systems (physical and digital) to maintain compliance with industry regulations.
  • Team Collaboration:
    • Facilitate internal meetings by preparing agendas, taking minutes, and ensuring follow-up on action items.
    • Work closely with other team members to maintain a smooth workflow and a positive office environment.

Qualifications:
  • Experience:
    • 2+ years of administrative or office support experience, preferably in the insurance industry.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe.
    • Excellent written and verbal communication skills English and Spanish.
  • Attributes:
    • High attention to detail and accuracy.
    • Ability to maintain confidentiality and handle sensitive information.
    • Positive attitude and customer-service mindset.

Education:
  • High school diploma or equivalent required.
  • Associate degree or additional certification in office administration or a related field is a plus.
