We are seeking a highly organized and detail-oriented Intake Operations Specialist to join our legal team. This role is responsible for supporting the Intake department by ensuring that client files are properly documented, researched, and prepared for demand. The ideal candidate is dependable, proactive, and efficient—capable of working independently in a fast-paced, high-volume environment while maintaining excellent communication and documentation standards.
Key Responsibilities:
- BI (Bodily Injury) Limits Search: Conduct thorough insurance policy searches to identify bodily injury coverage.
- Police Report Review: Process and analyze up to 50 police reports daily
- Client Communication Support: Answer incoming calls and either transfer them to the appropriate team member or leave a detailed message for follow-up.
- Documentation Support: Draft and send turndown letters to clients when necessary.
- Call Overflow Assistance: Help manage overflow from the Intake team to ensure timely client response and reduce delays.
- File Completion & Prep: Collaborate with Intake staff to ensure that all case files are complete and ready to move forward for demand.
- System Management: Log notes, documentation, and case activity in the case management platform with accuracy and clarity.
- Detail-Oriented: Delivers consistent, high-quality work with a focus on accuracy.
- Self-Starter: Capable of managing time and responsibilities independently.
- Problem-Solver: Able to identify gaps in documentation or client info and take initiative.
- Team Player: Works cooperatively across departments to support Intake goals.
- Adaptable: Thrives under pressure and adapts to changing priorities or caseloads.

- Strong verbal and written communication skills in English are required.
- Bilingual in English and Spanish preferred.
- Prior experience in a legal, medical, or case management support role strongly preferred.
- Strong time management and organizational skills.
- Proficient in Google Workspace, Microsoft Office, VOIP systems, and CRM/case management platforms.
