Job Summary:
We are seeking a highly organized and proactive Executive Secretary to support daily administrative and operational functions. This role is central to managing communications, scheduling, lead coordination, and assisting with customer service and project logistics. The ideal candidate is detail-oriented, tech-savvy, and excels at multitasking in a fast-paced environment.
Responsibilities:
- Manage incoming calls, voicemail, emails, and route communications appropriately
- Enter and qualify leads, schedule and confirm appointments, and maintain consistent follow-up with leads and customers
- Prepare and submit customer forms, order roof measurements, and cancel or reschedule inspections as needed
- Support billing, collections, financing prequalification, and maintain accurate CRM records
- Coordinate material deliveries, open job accounts with suppliers, and manage job schedules and deadlines
- Request and submit vendor forms (such as COIs), and ensure compliance with licensing and city/municipality requirements
- Maintain the company calendar and assist with internal scheduling
- 1+ years of experience in administrative support, customer service, or project coordination
- Strong communication, organizational, and multitasking skills
- Proficiency with CRM software, email, and Microsoft Office
- Experience with Roofer is a huge plus
- Ability to work independently and manage time effectively
- Bilingual in English and Spanish is required
