Role Summary
We’re looking for a detail-obsessed, bilingual Permit Technician / Engineering Admin to support our Engineering Department with high-volume administrative tasks tied to permitting and project coordination. You’ll prepare and submit permit applications, track reviews, follow up with AHJs (Authorities Having Jurisdiction), maintain accurate records, and keep projects moving by staying ahead of deadlines and missing items. This is a process-heavy role that requires excellent written and spoken English + Spanish, strong organization, and the confidence to communicate with city/county building departments, fire departments, and third-party reviewers.

Key Responsibilities
Permitting & AHJ Coordination
- Prepare, assemble, and submit permit applications (online portals and email submissions)
- Track permit status, plan review comments, resubmittals, and approval timelines
- Follow up with permitting offices/AHJs via phone/email to obtain updates and resolve holds
- Request and compile required documents (forms, licenses, COIs, drawings, narratives, cut sheets)
- Coordinate revisions/resubmittals with engineering and project management teams
- Schedule inspections when applicable and confirm requirements with AHJ
- Perform accurate data entry across internal trackers, permitting portals, and project folders
- Maintain clean, consistent file structure (naming, version control, “latest stamped set,” etc.)
- Log and track inbound/outbound communications and action items
- Maintain dashboards: permit log, submittal checklists, due dates, and escalation notes
- Support engineering team with document formatting, basic QA checks, and packaging submittals
- Communicate clearly with internal stakeholders (Engineering, PMs, Sales, Field)
- Draft professional emails in English and Spanish
- Escalate risks early (missed deadlines, stalled reviews, missing documents, portal issues)
- Ensure each project has a complete “permit-ready” package before submission
- Perform other related duties as assigned by management.
- Fluent English and Spanish (verbal + written)
- 2+ years experience in permitting, construction admin, engineering admin, or similar
- Strong comfort with online permitting portals, document uploads, form completion, and follow-ups
- Excellent organization, attention to detail, and ability to manage multiple projects at once
- Strong computer skills: Google Workspace (Drive, Sheets, Docs), PDFs, basic document formatting
- Professional phone presence and confident communication with AHJs and reviewers
- Experience with fire alarm, low-voltage, DAS/ERRCS, telecom, or life safety permitting
- Familiarity with common construction documents: plansets, cut sheets, COIs, licenses, W-9
- Experience using project tools (Smartsheet, Monday, Asana, ClickUp) or CRM/ERP systems
- Understanding of the permitting lifecycle: intake → submittal → plan review → resubmittal → issuance → closeout
- Submittals go in complete and correct the first time
- Permit statuses are always current, with clear next steps and owners
- Reviews don’t stall due to lack of follow-up
- Engineering team spends less time on admin and more time on technical work
- Files are organized and “audit-ready” at any moment
