JOB TITLE: Call Representative – Authorizations Department

JOB SUMMARY:
The Call Representative – Authorizations Department is responsible for handling inbound and outbound
calls related to procedure authorizations in a professional and courteous manner. This role assists patients
with scheduling, confirmations, and inquiries about procedures, ensuring that all necessary information
and authorizations are accurately documented.
The representative works closely with the Authorizations Department and Procedure Team to ensure
efficient communication, timely responses, and excellent patient service while supporting department
workflow and compliance with organizational policies.

QUALIFICATIONS/EDUCATION:
  • High School Diploma or equivalent required.
  • Bilingual English/Spanish preferred; must be able to read, write, and speak English.
  • 1-2 years of related experience in a medical setting preferred.
  • Strong people skills.
  • Excellent communication skills, including verbal with proper grammar.
  • Attention to detail and accuracy in data entry.
  • Strong organizational and multi-tasking skills.
  • Proficiency in computer systems, including EMR and authorization platforms, email, and fax systems.

ABILITIES/SKILLS:
  • Basic computer skills to be able to recognize and understand our EMR System.
  • Excellent communication, Customer Service, and telephone skills.
  • Strong organizational skills and ability to multi-task effectively.
  • Must be able to work independently with minimal supervision in a fast-paced environment.
  • Able to respect and maintain patient confidentiality at all times and comply with HIPAA Regulations.
  • Must be dependable and conduct him/herself in a professional manner.
  • Demonstrates skill in the use of personal computers, various programs, and applications required to competently execute job duties.
  • Must be able to follow policies and procedures.
  • Proficiency in computer systems, including EMR and authorization platforms, email, and faxsystems.

ESSENTIAL DUTIES/ RESPONSIBILITIES:
  • Answer incoming calls in a professional, courteous, and timely manner using the approved telephone script.
  • Manage voicemail messages related to procedure authorizations and ensure all return calls are completed promptly.
  • Provide accurate information to patients regarding procedure scheduling, require authorizations, referrals, and instructions.
  • Transfer calls to the appropriate authorization team member as needed and ensure follow-up on pending requests.
  • Review and communicate preparation instructions to patients prior to their procedure and
  • address any related questions or concerns.
  • Verify that all required medical clearances, orders, and authorizations are received and uploaded to the EMR.
  • Coordinate with the Authorizations Department to ensure all documentation is complete and
  • procedures are confirmed in advance.
  • Assist in scheduling, confirming, and rescheduling procedures as needed.
  • Monitor and manage emails and faxes related to authorizations and medical records.
  • Maintain accurate and timely documentation of all interactions in the EMR and/or authorization systems.
  • Escalate complex issues or patient concerns to the Authorizations Supervisor as appropriate.
  • Conduct all activities in a professional, polite, and cooperative manner, adhering to companypolicies and procedures.
  • Perform other related duties as assigned by management.
