Role Overview:

The Intake Specialist serves as the critical first point of contact for clients, responsible for creating a positive initial experience while meticulously managing the foundational stages of each case. This role involves gathering and verifying essential documentation, ensuring data accuracy, and establishing the framework for smooth case progression. Given the sensitive nature of the work, professionalism, empathy, and attention to detail are paramount. Bilingual proficiency in English and Spanish is essential to effectively communicate with and support our diverse clientele.

Key Responsibilities:

•Conduct comprehensive welcome calls with new clients, explaining case processes, setting clear expectations, and building trust.

•Collect, verify, and document all required client information, including Letters of Representation (LORs), valid ID, and case-specific details.

•Proactively follow up on initial property damage (PD) reports to provide timely updates and ensure completeness.

•Accurately input and organize client data within case management systems to maintain precise and accessible records.

•Collaborate seamlessly with other departments, ensuring clients transition smoothly between intake and subsequent case stages.

•Identify and address potential gaps in documentation or client communication early in the process to prevent delays.

Skills and Qualifications:

•Strong customer service skills to handle sensitive client inquiries with professionalism and empathy.

•Excellent attention to detail to ensure accurate data collection and compliance with legal standards.

•Effective communication skills to build rapport with clients and explain complex processes clearly.

•Exceptional organizational skills to manage a high volume of cases and prioritize effectively.

• Familiarity with legal or medical terminology is highly desirable.

• Sales background, friendly persuasion and the ability to overcome objections.
