Position Summary

We are seeking a highly organized, dependable, and motivated Executive Assistant to support the Chief Operating Officer in a fast-paced business environment. This is an excellent opportunity for someone who is eager to learn, grow, and gain exposure to how a multi-entity business operates behind the scenes.
This role will help keep priorities organized, support day-to-day communication, assist with scheduling and follow-up, and help ensure important tasks stay on track. The right person is detail-oriented, proactive, comfortable with change, tech-savvy, and able to communicate professionally in both English and Spanish.

Key Responsibilities

• Support the Chief Operating Officer with day-to-day administrative and coordination tasks.
• Monitor and organize email communications, flag urgent items, and help with inbox triage.
• Assist with calendar scheduling, meeting coordination, and reminders.
• Track action items, deadlines, and follow-up tasks across departments.
• Help maintain weekly priorities, goals, and Rocks by updating trackers and following up on open items.
• Coordinate travel arrangements and itinerary details as needed.
• Prepare meeting notes, organize next steps, and help keep projects moving.
• Assist with spreadsheets, shared documents, research, document drafting, and general administrative support.
• Maintain confidentiality and handle sensitive business information professionally.

• Emails, scheduling, and follow-up are handled consistently and professionally.
• Tasks and deadlines are documented and less likely to slip through the cracks.
• The Chief Operating Officer has reliable day-to-day support.
• The business gains a strong team member who grows into the role over time.

Qualifications

• 1-3 years of administrative, coordinator, assistant, or office support experience preferred.
• Strong written and verbal communication skills in English and Spanish; bilingual written and verbal communication is required.
• Comfort with AI tools and a willingness to learn and adapt quickly; an open-minded, tech-forward approach is important in this role.
• Strong organizational skills and attention to detail.
• Comfortable working in a fast-paced environment with changing priorities.
• Proficient with Google Workspace, Microsoft Office, spreadsheets, and common workplace technology.
• Able to manage multiple tasks and follow through reliably.
• Professional, resourceful, and eager to learn.
• Experience supporting a manager, team lead, or business owner is a plus.
• Familiarity with EOS-style goal tracking or task management tools is a plus, but not required.
