Job Summary:
We are seeking a proactive and highly organized Executive Assistant to join our team. The Executive Assistant will provide high-level administrative and strategic support to the leadership team, focusing on operational efficiency, communication, and project management. This role is ideal for a detail-oriented individual with excellent leadership and organizational skills, capable of acting as a trusted advisor and managing key initiatives. The right candidate will play a critical role in ensuring organizational priorities are executed effectively, contributing to the company’s success.
Responsibilities:
1. Provide comprehensive administrative support, including managing schedules, emails, and correspondence.
2. Be able to manage social media, content generation and regular postings on social networks.
3. Coordinate and execute strategic initiatives, and monitor project management tasks, ensuring alignment with company objectives.
4. Act as a primary liaison between leadership and internal/external stakeholders, facilitating clear communication.
5. Prepare and organize materials for meetings, presentations, and reports.
6. Oversee cross-functional projects, tracking and communicating progress and resolving roadblocks to ensure timely delivery.
7. Identify, recommend and implement process improvements to enhance operational efficiency.
8. Handle confidential information with discretion and professionalism, understanding cultural nuances across clients.
9. Represent leadership in meetings when needed, providing summaries and actionable insights.
10. Collaborate with department heads to align team efforts with organizational goals.
Requirements:
● 3+ years of experience as an Executive Assistant, Project Manager, or in a similar role.
● Bachelor’s degree in Business Administration, Management, or a related field preferred.
● Exceptional verbal and written communication skills in both English & Spanish.
● Social Media Management skills (preferred).
● Proven ability to manage complex projects and multitask effectively.
● Proficiency in Microsoft Office Suite, Google Workspace and project management tools; experience with CRM software is a plus.
● High level of emotional intelligence, discretion, and professionalism, with flexibility to operate in multicultural environments.
● Strong organizational and problem-solving skills, with attention to detail.
● Ability to work independently in a fast-paced environment and adapt to changing priorities.
