Job Title: Closing Scheduler / Mobile & RON Signing Coordinator

Position Overview:
We are seeking a highly organized and detail-oriented Closing Scheduler / Mobile & RON Signing Coordinator to join our team. This role is responsible for coordinating and managing the full lifecycle of notary signings, ensuring each closing is completed accurately, efficiently, and on time. The ideal candidate thrives in a fast-paced environment, communicates clearly, and can manage multiple orders simultaneously while maintaining a high level of professionalism.

What We Schedule
• Mobile in-person closings nationwide
• RON (Remote Online Notarizations)

Key Responsibilities
• Create orders for Title Companies, Attorneys, and individual clients
• Assign closings to qualified Mobile & RON notaries
• Communicate clear and detailed instructions to notaries
• Follow up with notaries to ensure signers are prepared and informed
• Answer notary questions and resolve issues promptly
• Monitor signing progress from assignment through completion
• Keep clients informed with timely status updates
• Ensure completed documents (scanbacks) are returned accurately and on time
• Review scanbacks and coordinate corrections when needed
• Manage document corrections and communicate with all parties involved
• Close out completed orders and confirm all requirements are met

• Scheduling Platforms: Qualia & Signing Order
• Email & Communication: Gmail & Nextiva
• Order Management: Google Sheets

Qualifications
• Strong organizational and time management skills
• Ability to handle multiple tasks and prioritize effectively
• Excellent written and verbal communication skills in English
• Attention to detail and problem-solving abilities
• Ability to work in a fast-paced, deadline-driven environment
• Experience in real estate closings, notary services, or title industry preferred (but not required)
