Job Title: Office Coordinator
About the Role:
We are looking for an organized, proactive and resourceful Office Coordinator to support high-level executives and handle key administrative and operational tasks. This person will play a key role in ensuring smooth office operations, managing schedules, coordinating events and handling purchases.
Key Responsibilities:
Coordinate and manage executive agendas, meetings, and appointments.
Book restaurants, hotels, and venues for corporate meetings or events.
Manage office purchases and supplies — including going out to buy or pick up items when needed.
Serve as the point of contact for vendors and service providers.
Support in the planning and logistics of internal events, workshops, and meetings.
Perform administrative tasks such as preparing reports, tracking expenses, and managing office documentation.
Coordinate and follow up on company errands and external tasks.
Ensure smooth day-to-day office operations and assist other departments as needed.
Requirements:
Previous experience in administrative or operational roles (office coordinator, executive assistant, office manager, etc.).
Strong organizational skills and attention to detail.
Ability to multitask and manage priorities in a fast-paced environment.
Excellent communication and problem-solving skills.
Comfortable interacting with executives and external providers.
Own vehicle and valid driver’s license (must be willing to run errands and go on-site when needed).
Basic knowledge of event planning and procurement.
- Proficient in Microsoft Office / Google Workspace.
Bilingual in English and Spanish.
