Job Description:
The Scheduling Representative is responsible for managing patient appointments and referral information with accuracy and professionalism in both English and Spanish. This role requires excellent communication, attention to detail and collaboration with internal teams to ensure smooth operations and a positive patient experience for all patients.

Key Responsibilities:
• Enter all prescriptions in ADS referral with accuracy
• Call patients to schedule and enter appointments in ADS scheduler
• Answer phones in a timely manner in both English and Spanish
• Contact doctors’ offices, attorneys, and workers compensation companies for patient/referral information
• Accurate data entry
• Double-check information received, especially prescription and insurance information
• Be responsive: Reply to messages and emails in a timely manner
• Be collaborative: Work together with the Marketing Representative to achieve shared goals and resolve any issues efficiently
• Screen patients for possible contraindications and ensure that MRI is safe for patients
• Confirm appointments for the next day if necessary

Requirements:
• High school diploma or equivalent (additional education preferred)
• Fluent in English and Spanish (both written and spoken)
• Previous experience in scheduling, data entry or medical is a plus
• Strong attention to detail and accuracy
• Excellent communication and organizational skills in both languages
• Proficiency with data entry systems and Microsoft Office Suite
• Professional phone etiquette and customer service skills
• Ability to multitask and work collaboratively within a team
