Travel Coordinator
Position Summary
The Travel Coordinator is responsible for managing and coordinating all travel arrangements for employees and subcontractors in support of project work orders. This role ensures timely bookings, cost control, proper documentation, and proactive communication with internal teams. The position operates in a fast paced, event driven environment where last minute changes may occur.
This role may require availability on Saturdays on an as needed basis, typically for a half day.

Key Responsibilities
- Travel Coordination and Booking
- Monitor all confirmed Work Orders and verify with Operations whether travel is required for employees or subcontractors
- Escalate requests when responses are not received within established timeframes to prevent last minute bookings
- Receive and process travel requisitions within Tradogram
- Create and manage travel purchase orders in Tradogram
- Book and coordinate flights, hotels, and ground transportation for individuals and groups
- Utilize travel platforms with reporting capabilities for flight tracking and documentation
- Vendor Management and Cost Control
- Negotiate directly with hotels for group bookings to secure competitive rates and commissions where applicable
- Identify opportunities to optimize travel spend while maintaining service standards
- Documentation and Reporting
- Prepare and distribute Travel Memo packets to employees, including finalized itineraries and relevant travel information
- Maintain accurate travel documentation and tracking records
- Submit Project Closure Reports using standardized templates, including analysis of booking lead times
Qualifications Required
- Previous experience booking flights, hotels, and car reservations, including group travel arrangements
- Experience working in a fast-paced environment with shifting priorities
- Strong organizational skills and attention to detail
- Ability to manage multiple travel requests simultaneously
- Strong communication and escalation skills
- Preferred
- Experience in the event industry
- Familiarity with Tradogram or similar procurement platforms
- IATA certification
- Bilingual English and Spanish
