We’re looking for a self-motivated, detail-oriented, and business-savvy Project Coordinator to streamline our operations, manage cross-functional communication, and help us boost productivity and profits.

Your Mission

As the Project Coordinator, you will be the operational hub of our business. You’ll oversee and coordinate all day-to-day activities between departments (Sales, Design, Logistics), manage key client interactions, handle administrative workflows, and play a key role in our marketing and sales initiatives. Your ultimate goal: ensure every project runs smoothly, our team stays productive, and our bottom line grows.

Key Responsibilities

  • Inbound Communication: Receive and manage inbound client calls with professionalism and clarity.
     
  • Outbound Calling: Make outbound calls for:
     
    • New lead follow-ups
       
    • Sales outreach
       
    • Appointment setting
       
    • Reconnecting with past clients who haven't ordered recently
       
  • Estimate Creation: Prepare accurate and competitive project estimates based on client needs.
     
  • Project Coordination: Act as the go-between for clients and designers—translate creative briefs into actionable tasks.
     
  • Department Oversight: Supervise all departments including Design, Logistics, and Sales to ensure efficiency, quality, and deadlines are met.
     
  • Appointment Scheduling: Set up client consultations, strategy meetings, and internal team check-ins.
     
  • Marketing Execution: Plan and launch simple marketing campaigns (email, social media, online ads) to generate leads.
     
  • Lead Management: Proactively follow up with all leads and document progress in CRM or project management tools.
     
  • Sales Tracking: Monitor and report on monthly sales metrics and team KPIs.
     
  • Social Media Oversight: Manage social media accounts (posting, engagement, content coordination with designers). Candidate wouldn’t be running the campaigns, but ideally, they can bring new idea to the table.
     
  • Client Follow-Up: Ensure clients are regularly updated and that projects progress smoothly.
     
  • Graphic Design Assistance: Use your basic graphic design skills (Canva, Adobe Suite preferred) to support simple edits or drafts when needed. (Preferred)
     

Ideal Candidate Has:

  • Proven experience in project coordination, team leadership, client service, or inside sales (preferably in a creative or marketing environment).
     
  • Confidence and professionalism making outbound sales and re-engagement calls.
     
  • Excellent communication English - Spanish and organizational skills.
     
  • Strong multitasking ability with attention to detail and deadlines.
     
  • Knowledge of marketing tools (Mailchimp, Meta Ads Manager, Google Ads, or similar).
     
  • Experience with project management software (e.g., Trello, Asana, ClickUp).
     
  • Familiarity with graphic design tools like Canva, Adobe Photoshop, or Illustrator.
     
  • A "roll-up-your-sleeves" attitude—you’re ready to get things done.
