Job Title: Estimating Department Administrator
Job Summary: The Estimating Department Administrator is responsible for receiving and processing incoming requests for estimates and quotes from clients or internal departments. This role involves gathering relevant project information, ensuring accuracy, and preparing the necessary documentation for estimators to produce cost estimates. Additionally, they will be managing CRM Data and data entry. They will play a key role in supporting sales, marketing, and customer service teams by ensuring that data is accurate, up-to-date, and easily accessible for business operations.
Key Responsibilities:
● Request Management:
○ Serve as the primary point of contact for incoming estimating requests from clients, sales teams, or project managers.
○ Review and assess request forms, project specifications, or other documentation to ensure all necessary details are provided.
○ Enter and update intake data into the estimating system or software, ensuring accuracy and completeness.
● Coordination with Sales Team:
○ Collaborate with the sales team to ensure that all estimate requests are processed efficiently.
○ Prioritize and assign incoming requests based on urgency, project scope, or other predefined criteria.
● Data Entry and Management:
○ Enter and update customer information, leads, sales opportunities, and other relevant data into the CRM system (e.g., Salesforce, HubSpot, or others).
○ Ensure that all data is accurately entered and updated in a timely manner, maintaining the integrity of the CRM database.
○ Organize and categorize customer information for easy access and retrieval by sales and marketing teams
● Data Entry and Reporting:
○ Accurately input and update client information, project details, and estimates into internal databases or software.
○ Generate reports on incoming estimate requests, status updates, and other relevant metrics for management.
● CRM Maintenance:
○ Regularly update and clean the CRM database, removing outdated or redundant information.
○ Monitor the CRM system for any data entry issues or inconsistencies, resolving any problems as they arise.
○ Work closely with the IT or CRM support teams to resolve technical issues related to the CRM platform.
Skills and Qualifications:
● Experience:
○ Proven experience in administrative support, estimating, customer service, or a related field.
○ Experience in the construction, manufacturing, or service industries (depending on the company's focus) is preferred.
● Technical Skills:
○ Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with estimating or project management software (e.g., Procore, Buildertrend, or others) is beneficial.
○ Bluebeam Software skills*
○ Basic CAD experience
● Communication Skills:
○ Excellent verbal and written communication skills, with the ability to interact effectively with clients, estimators, and internal teams.
○ Bilingual proficient English and Spanish required.
● Attention to Detail:
○ Strong attention to detail to ensure that all estimate requests are complete, accurate, and processed correctly.
● Organizational Skills:
○ Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
● Problem-Solving Skills:
○ Ability to troubleshoot issues and find solutions quickly, especially when information is missing or unclear.
