Executive Assistant

Job Summary

We are seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership, including the National Director of Program Implementation and Support and other executive staff. This role is critical to ensuring efficient operations and supporting the overall success of the organization.

Key Responsibilities

  • Perform clerical and administrative tasks, including drafting letters, memos, reports, and other documents for senior leadership.

  • Arrange travel, accommodations, and itineraries for executives.

  • Receive and review incoming communications on behalf of senior staff; determine priority, summarize content, and distribute information as appropriate.

  • Maintain and manage executive calendars, appointments, and meeting schedules.

  • Prepare reports by collecting, analyzing, and organizing data.

  • Assist executives with presentations, meeting agendas, and preparation materials.

  • Provide administrative support to Program Coordinators as needed.

Required Skills and Abilities

  • Excellent verbal and written communication skills English and Spanish.

  • Strong organizational skills with exceptional attention to detail.

  • Proven time management skills with the ability to meet deadlines.

  • Ability to function effectively in a fast-paced and occasionally high-pressure environment.

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) with the ability to learn new or updated software.

  • Experience using Artificial Intelligence tools to streamline administrative and operational processes.
